Evaluating how you manage your client files.
You may contact us because something isn't quite right about how you're
managing client files. Perhaps it's because your filing system lacks standards
and it's a burden for filing personnel to keep up with the different systems your
lawyers are using. Perhaps it's because you have a single way of filing for all
practice areas and this one-size-fits-all filing system doesn't seem to fit some of
them. Perhaps you are running out of filing space with nowhere to expand and,
as a result, your offsite storage costs are increasing.
There are no boilerplate legal records management solutions. What might work
for one law firm does not always work for another, even if those firms practice the
same areas of law. Likewise, law departments have different information issues
depending on the business of their companies. Therefore, we recommend
changes that accommodate the unique information needs and working habits of
your lawyers.

Contact us if your lawyers are spending a significant amount of time finding the
information they need and you want to find out why.

Implementing the decisions you make to improve access to information in your files.
When feasible, we give you a couple of choices for making changes to your filing
system and include associated costs and implementation timeline so that you
can make informed decisions.
We work weekends and evenings to minimize disruption during implementation,
but we're also there during business hours to keep the system working through
the transition period.
We either provide qualified personnel for file inventories, conversions, or
reorganizations, or work with your employees on these projects. We can also
implement records management automation solutions and assign qualified
personnel to input information into the software program.

Staffing to maintain the quality of the system.
If your law firm or law department is fortunate to have qualified, reliable records
management staff, then outsourcing the records management function may not
be a solution for your firm. However, if you find yourself constantly hiring
inexperienced workers due to turnover in records staff, then maybe it's time to
outsource your records function.
We assign at least two people, trained in your specific areas of law, on a rotating
basis to assure continuity and ongoing quality. If one person leaves, we are
responsible for replacing that person with someone of equal expertise
and experience. And, you contract for only as many hours as needed to perform the
work, from 10 to 40 hours per week.
By the time you factor in benefits, training costs, and employee time spent on
nonproductive tasks and personal business during a workday (as high as three
hours in some firms), outsourcing your records management function could be
cost effective for your firm.
